Registration, Waiting List, Cancellation, and Refund Policies
Depending on the registration options available at your child's school or camp, registration priority will be handled differently, but usually, online registrations are prioritized. First come, first served !
Registrations online or by phone
- Registrations will be processed in real time according to the time and date they were received on-line or by phone. A message left by voicemail or by email is not considered a complete registration until it’s been processed by an Educ-Action Team member.
- A registration done online without a payment is considered an official registration and will be treated as one and the same fees will be applied. If you wish to cancel your registration you must contact Educ-Action by e-mail or telephone as soon as possible (at least 2 weeks prior to the start of the classes), or administration fees will be applied.
Waiting List
- If an activity is full during the registration period, you will get priority IF a place becomes available for the selected activity. We will communicate with you ONLY IF a place becomes available. If you do not receive a confirmation for the chosen activity, your child will be automatically registered in the activity's next session during the same school year (except during the last session of the school year: at which time you will receive a refund). A confirmation of registration will be sent by email.
- When your child is on the waiting list, you can ask for a refund at any time by sending an email to comptabilite@educ-action.org. Allow a delay of 14 business days to receive the refund via your payment method.
Registration confirmation
- Educ-Action will send an automatic registration confirmation by email for any registration completed online at the email address provided by the parent. It is the responsibility of the parent to supply a valid email address and to ensure that our emails are not being sent to your spam.
- No confirmation will be sent for a registration without a valid email address.
- Educ-Action will contact you if there is any change in the registration (lack or surplus of registrations, change of schedule, etc) either by phone or email.
Incomplete or incorrect registration
- Educ-Action services will not be held responsible for mistakes linked to incomplete or incorrect or non-legible registration information (invalid phone number or email address, no selected activity, missing child grade or homeroom or parent name, missing allergy or medical information, missing lunch or return after the activity status etc).
- A registration done online without a payment is considered an official registration and will be treated as one and the same fees will be applied. If you wish to cancel your registration you must contact Educ-Action by e-mail or telephone as soon as possible (at least 2 weeks prior to the start of the classes), or administration fees will be applied.
IMPORTANT : In case of disparity between the paper registration document and the information posted on our website, the online version will be considered correct.
***ACT OF GOD - CASE OF UNFORSEEN CIRCUMSTANCES***
Please note that in the event of unforeseen circumstances beyond our control (ex: pandemic, flood, fire, cancellation by a higher authority, etc.) and until the resolution of the situation, we apply a special policy related to cancellations of extracurricular activities. No reimbursement will be made except for a few exceptions (eg: 6th year child leaving for secondary without the possibility of transferring the credit to another child from the same family).
If the situation does not allow providers to be physically present in a school, classes will be resumed online with a schedule that will be sent by email if the type of class allows it. The terms of recovery will be sent within a reasonable time.
If it is impossible to complete the session within a reasonable time (eg: more than a month) with a physical presence at the school and the type of course does not allow an online alternative (eg: sport), a credit will be applied in your account in proportion to the remaining courses which can be used for online activities or for years to come. Exceptional requests for reimbursement (leaving high school without the possibility of transmitting the credit) must be made by email and the penalty policies will be applied.
Absence due to illness (ex: gastro, flu, Covid-19 with or without quarantine, etc.) will be treated as a normal absence, with no credit or refund applicable. See section If the child is absent.
LATE REGISTRATION
Registration after the deadline, but at least 7 to 10 days before the start of the semester
- No late fees will be added
- We cannot guarantee space availability for the desired activity.
- Please contact Educ-Action by phone at 514-731-2242 or by email at parent@educ-action.org to verify if there is still space in an activity.
- No registration coupons will be accepted after the registration deadline, registrations after the deadline will only be accepted by telephone.
Late registration, 5 days or less before the start of the semester
- Administrative fees of 10$ will be added per child
- We reserve the right to refuse or accept registrations in the days leading to the semester launch, depending on the number of participants registered in each activity and the school’s policy.
- Please contact Educ-Action by phone at 514-731-2242 or by email at parent@educ-action.org to verify if there is still space in an activity.
- No registration coupons will be accepted after the registration deadline, registrations after the deadline will only be accepted by telephone.
Late registration, after the start of the semester
- Administrative fees of 10$ will be added per child
- We reserve the right to refuse or accept registrations after the semester launch, depending on the number of participants registered in each activity and the school’s policy.
- NO discount or price reduction will be awarded for any missed activity time due to a late registration.
* Educ-Action adds a 10$ fee for every late registration because it causes a surplus of administrative work.
REFUND AND CANCELLATION POLICY
ONTARIO area: No refund. Credit only.
QUEBEC area
Each registration includes a portion of the non-refundable file opening and processing fee valued at $ 10.
- Example: if the activity costs 100$, only a refund for the instructional part of the class of 90$ would be issued.
The opening of a file fee (10$) and an penality fee of 10% of the total amount per activity is included in the activity fee, no matter which mode of registration is used (on-line, by phone or with paper coupon) or which method of payment is chosen.
Registration cancellation BY Educ-Action (lack or surplus of registrations)
- Alternative activity suggested
Educ-Action will credit the parent’s Educ-Action account for the amount paid for the cancelled activity and will contact the parent (by phone or email) to offer available alternatives.
If the alternative activity costs less than the initial choice, the residual credit will be left in the parent account for a future registration.
If the alternative activity costs more, the parent will have to pay the difference following the 48 hrs of registration without any other administrative fee. After the 48 hours, late fee may apply.
- Full credit (no administrative fees) if no suitable alternative is found. Any credit will be applied to the parent’s account. See the section Credit in the family account below.
- Full refund (no administrative fees) if requested.
Credit to the family account
All credits are visible online when the parent is connected to their Educ-Action account. This credit is valid for any future registration, for any child of that family. The system automatically uses the credited amount when calculating the balance due for a registration to a new activity.
Registration cancellation BY THE PARENT
More than 2 weeks before the beginning of the session (2 options)
- Full Credit (No fees will apply)
- Full Refund (No Fees will apply)
One week or less before the beginning of the semester (2 options)
- Full credit (no penality fees)
- Refund minus the 10$ account opening fee
After the beginning of the semester (2 options)
- Credit, minus the cost of the classes taken and the administrative fee of 10%
- Refund minus the 10$ account opening fee, minus the cost of the classes taken and the penality fee of 10%

Refunding a parent
- If the payment was done electronically by credit or debit, the refund will be issued on the card used to make the payment and an email will be sent to the parent once the transaction has been processed.
- If the payment was done by cheque or cash, the refund will be done by cheque in the parent’s name. A 5$ fee will be deducted to the amount being refunded for all refunds issued by cheque. The cheque will be mailed if we have a complete mailing address.
- No administration fees will be charged if Educ-Action decides to cancel an activity (in case of a lack or surplus of registration).
- A delay of 10 working days is required for an online refund.
- A delay of 20 working days after the deposit date of the cheque is required to ensure complete transfer of funds before issuing a refund cheque.
Explanation of the calculation for credit or partial refund
The calculation of the refund is only applied to the remaining weeks of the activity, minus the registration fee of 15$ and the penality fee of 10%.
Ex: 8 week session priced at $100.00 and unregistration after 2 of 8 weeks :
$100 - $10 Account fee = $90 for 8 weeks, therefore 6 weeks = 67.50$ minus the 10% admin fees = 60.75$ to be refunded for the remaining 6 weeks
The electronic credit will be visible in the client’s account within 5 working days after the cancellation (balance amount preceded by « - » ) .
Example: a credit of $25.00 will appear as « - $25.00 »
In case of a child’s absence
Educ-Action will send a reminder email to the parents that the activities will be starting but it is the responsibility of the children to present themselves to their activity. Educ-Action cannot be held responsible if a child forgets or chooses not to attend the activity. We suggest that the parents do the following:
- Put a note in your child’s agenda to remind them and the teacher
- Put a note in your child’s lunch box
- Remind you child in the morning that they have an activity.
No refund or credit will be given to the parent whose child is absent from his extracurricular activity for one of the following reasons:
- Medical reasons*; travel or any other personal reason.
- Homework program or other educational activity at the school.
- The parent or child forgot about the activity.
- The child refused to participate.
- The child arrived late.
- Special event or program organized by the school **
* A credit or refund will be issued if the child is not able to participate in more than three consecutive classes for medical reasons.
*There may be the possibility of an online make up class depending on the supplier.
** If a field trip or other special event is organized by the school resulting in the absence of 50% or more of the group of children enrolled in an activity, the activity will be retaken at a later date.
** If this special activity results in the absence of less than 50% of the group, the activity will not be retaken by the specialized supplier.
If your child misses a class because of an error on the part of the Educ-Action team, animators or school staffs, please contact us at 514-731-2242 x0 to evaluate possible solutions.
Expulsion from the activity
- The school’s code of conduct must be respected at all times by all the participants registered to an Educ-Action activity.
- The expulsion from one or more classes is an extraordinary measure and it is only used as a last resort.
- NO REFUND will be given if a child is removed from an activity because he or she did not respect the school’s code of conduct.
OTHER SERVICE FEES
Unpaid activity or balance
- For any unpaid balance for an activity 3 working days before the beginning of the semester, administrative fees of 10$ will be added to the client’s account balance (except for already pre-authorized payments).
- These fees help to cover the revision of the client files.
- If a client still has an outstanding balance after multiple attempts, The Educ-Action Team reserves the right to refuse to let the child participate in the activity. This extraordinary measure is only used as a last resort, when other methods to collect the payment have not worked.
Returned cheque
- Service fees of $45 will be applied for any returned cheque (insufficient funds, closed accounts etc).
Refused pre-authorized payment or cancelled payment
- Service fees of $45 will be applied for any pre-authorized payment that has been refused (expired or invalid credit card, etc.)
- Fees of $65 will be charged for all contested and/or stopped payments by the customer where the customer has not attempted to contact Educ-Action either by email at a valid email address, by telephone and have left a message and given a reasonable amount of time to follow up with the client (3 to 5 business days during normal business hours, with the exception of temporary closure of the office, holidays or quarantine measure where the delay would be longer.)

Late arrival of a parent at the end of the activity (for activities in the afternoon)
- If the child is not registered at the daycare, parents must pick up their child immediately after the activity.
- 2$ fee for every minute following the end of the activity time.
- Repeated delays of parents may cause the exclusion of their children during all or some of the following weeks, without refund.
PAYMENT METHODS
- You can pay the total amount in one transaction when you register on-line by credit card (Visa, Master Card) or Interac online. The transaction, in Canadian dollars (CND$) will appear in your monthly statement under www.educ-action.org. Moneris manages the secure electronic transactions for Educ-Action.
- Some schools have the possibility to discharge the balance in 2 electronic payments. A first payment of 50% will be taken upon registration and the other 50% will be taken 30 days later. You will not have to go back and pay since the transaction will have been pre-authorized. The transaction will appear in your monthly statement under www.educ-action.org. Moneris manages the secure electronic transactions by credit or debit card for Educ-Action.
